PRIVACY POLICY

Preamble

The Local Organizing Committee of ASVS 2027 (hosted by the Vietnam Vascular Disease Association - VNVDA) (hereinafter also referred to as LOC, we, us or our) is the Secretariat of the 28th Congress of the Asian Society for Vascular Surgery (ASVS 2027). The LOC operates the event website and activities on behalf of the Society.

In accordance with international data protection standards and local regulations, we respect the privacy of the users of the website (the User or you) and are committed to protecting the personal information that users may share with us.

This Privacy Notice describes our practices regarding the collection, use and disclosure of the following personal information:

1. Participant data concerning our website visitors and/or event participants, attendees, lecturers and speakers (collectively, Participants), who register for events and/or webinars that we organise (collectively Activities) and who visit or engage with our websites and their subdomains (collectively, the Sites).
2. Partner data concerning our partners, sponsors, exhibitors, vendors and association societies and their representatives (collectively Partners) who cooperate with the LOC in organising, promoting and executing the Events (together with the Sites and Activities - the Services).

By entering the website and using or participating in any activities, you agree to the terms and conditions set forth in this Privacy Policy, including the collection and processing of your information. If you disagree with any term provided herein, please avoid any interaction with us or participation in any of our Services.

Collection of Personal Information

We process data regarding our Participants and Partners (you or your). Such data is typically collected and generated through automatic means, directly from you, through your interaction with us or with our Services.

(i) Participant data:

• Participant account information: profile picture, registration number, e-mail address, year of birth, professional interests, event schedule, and hashed password for authentication.
• Participant contact information: full name, phone number, address, company/hospital name, and additional information submitted by the Participant.
• Participant registration information: educational, employment and professional background such as title, role, professional expertise, abstract, and when applicable travel grant request and dietary requirements.
• Other information: If you are a speaker, additional information may be processed such as the content of your lecture. You may also be recorded during the event.

(ii) Partner data:

• Partner contact information: name, title, company, e-mail address, phone number, logo, and additional information submitted by the Partner.
• Partner organisation information: company name, physical address and billing information.

(iii) Additional data collected:

• Usage information: IP addresses, geolocation, device data, and activity on our Services.
• Payment information: Credit card or bank account number, IBAN, SWIFT code and payment preferences (processed via secured gateways like VNPay).

Purpose of Collection

The LOC processes the personal data specified above as necessary for the provision of our Services. This includes:

• To facilitate, operate, and provide our Services, including event registration, abstract submission, attendance, and accreditations.
• To authenticate your identity and allow you to access our Services.
• To provide you with customer care, assistance and technical support.
• To contact you with general or personalised service-related messages, including abstract acceptance and payment confirmation.
• To comply with our legal, regulatory, compliance and contractual obligations.

Data Retention

We retain your personal data for as long as it is reasonably necessary to provide our Services; to comply with our legal and contractual obligations; or to protect ourselves from any potential disputes. Except as required by applicable law, we are not obligated to retain your personal data for any particular period, and we may securely delete it at any time.

Disclosure of Data

The information we gather is not sold, given to, or otherwise shared with any third parties for commercial purposes. The personal data provided to us will be kept confidential and will only be disclosed in the following circumstances:

• Service Providers: We engage third-party companies (e.g., VNPay for payments, hosting services) to perform services. They may have access to your personal data only for specific roles in supporting our Services.
• Sharing with Partners: Participants' data may be shared with relevant Partners (e.g., hotel providers for accommodation booking) if necessary.
• Sharing Public Information: We may share information that you voluntarily make public, including information posted on public chats or abstract publications.

Security

We strive to protect the security of your personal information by following industry standard practices. However, no data transmission over the Internet can be guaranteed to be 100% secure.

For payment details, we use a secured payment gateway system (VNPay or international gateways) which transmits payment details directly to our banking partner. We do not retain any credit card details after our Services are successfully performed.
